Medical Receptionist

Westlake Psychiatry & Psychology Associates is a private pay, mental wellness clinic that provides medication management, psychotherapy, and psychological testing in an outpatient setting. We are dedicated to helping families and individuals of all ages to effectively address a wide array of neurological and psychiatric conditions. Our practice is growing very quickly and we are seeking a Medical Receptionist who is committed to excellence, has strong attention to detail, and prides themselves on their professionalism. PURPOSE: We are looking for a scheduling and multitasking guru to support our growing practice! The Scheduling Coordinator will manage 10 Google Calendar schedules for our providers and ensure full schedules are maintained. They will help the office stay organized and on time while gracefully interacting with patients, care providers, and their families. A friendly person who works well with other staff members and enjoys caring for patients and their families during a time of need.

 

RESPONSIBILITIES:

  • Manage Google Calendar schedules for providers

  • Call patients to schedule their check-in appointments to ensure schedules are full

  • Assist with patient check-out/ check-in (i.e. collecting payment, scheduling follow-up appointments, etc.)

  • Multi-task with ease. For example: Answering a phone call then gracefully placing the caller on hold to register an arriving patient and notifying the doctor of the patient's arrival, returning to the phone call, and transcribing a message accurately for a 2nd doctor.

  • Maintain the cleanliness of waiting areas and other offices, ensuring a professional environment for patients and their families.

  • Dresses and presents themself professionally.

  • Takes pride in very reliable attendance.

  • Fluent in Microsoft Office and able to quickly learn and master scheduling software and complex phone systems.

 

QUALIFICATIONS:

Must have at least 2 years of experience working as an admin in an office, or preferably a medical office. Customer service or sales experience is a bonus. Must be able to work full-time. WPPA is looking for candidates who are pursuing a long-term career in mental health or general healthcare.

 

Experience Required:

  • Office Administration: 2 years

  • Medical Office: 2 year (preferred)
